SMART tip #1

How to allow additional users in your organisation to manage licences on your behalf

If your organisation holds radio or spectrum licences in the Register of Radio Frequencies (SMART), you will have a client record and an associated logon with a user name and password.

Note

If you do not yet have a logon for your client record in SMART, you can request an activation code be sent to you to start the process to obtain a logon. During the setup process you will be able to choose a user name and password of your choice.

 

 

 

These instructions explain how you can add an additional user to your client record to enable them to manage licences on your behalf.

This is particularly useful if you want someone else in your organisation to logon in their own right (for example someone in “accounts” or an external radio engineer). These additional users will have their own user name and password to manage your client and licence details – there is no need to divulge your own logon details (not a recommended practice!).

You will also have the ability to manage the logons of any of these additional users and delete them if access is no longer required.

Note

This SMART Tip only applies to organisations – individual person logons to SMART cannot have additional users with separate logons.

 

 

 

 

Instructions for the user with a current logon to SMART

  1. Open your internet browser and navigate to www.rsm.govt.nz/smart/.
     
  2. Select Logon from the top-right of the screen
     
  3. Enter your user name and password
     
  4. You will then be logged onto SMART.

    Note the “Welcome SMART Business” text on the home page – this is showing the First Name and Last Name details of your logon.
     
  5. Select the menu Logon Details > Change your Client Details – your organisation’s client details will now be shown.

  6. Select Organisation Details from the left-hand menu – note the logon details identified in 4 above are shown.

  7. Select the Add User button. The User Details screen is shown:

    Enter the First Name and Last Name of the person you wish to have an additional logon to your client record.
     
  8. Select Yes or No to Administrator Access:
    Yes - Once logged on, the new user will be able to update or delete all your user logons for your client record.
    No – Once logged on, the new user will only be able see the user logons but not be able to update or delete.
     
  9. Enter the new user’s phone number
     
  10. Enter the new user’s email address. The activation code will be sent to this email address.
     
  11. Select Save. The message “Details saved successfully” will be displayed. At this point, the activation code has been emailed.

  12. Select Back to take you to the Organisation Details screen.

    Note the new user’s logon details are shown in addition to yours. Note also that the new user’s status is shown as “Pending”. This means they have not activated their logon yet. To remove a user, select the red button Remove button.
     
  13. It is now the new user’s responsibility to activate their logon.
     
  14. Select Back to view your client record again and then Back to return to the home page of SMART.

 

Instructions for the new user

  1. Find the email you would have been sent containing the activation code.
     
  2. Open your internet browser and navigate to www.rsm.govt.nz/smart/.
     
  3. The activation process is the same as if you were the original client user. The following instructions will guide you through the activation process – an interactive demo is included in these instructions.
     
  4. An additional tip – as the new user, you could identify your logon by adding the client name to the First Name or Last Name when setting up your logon details.

    For example: Joe Bloggs the radio engineer has his own logon to SMART (to perform his engineering activities). He may also have another logon to manage licences on behalf of SMART Business Ltd – his logon First Name and Last Name may be “Joe Bloggs SMART Business 506682”. The screen will display this name and therefore identify what logon he is using at the time.
